Who we are

This Privacy Policy explains what we collect when you use shepherdsranch.net, book a rental, sign a waiver or rental agreement, or contact us by text or email.

What we collect

• Booking & contact info: name, email, phone number, rental date/time, group size, and messages you send us.
• Sign-in info: email address and mobile number used to send one-time codes (SMS) or email sign-in links.
• Waivers & agreements: participant name, contact details, age, signature, and for minors the parent/guardian’s name and signature.
• Payments: handled by Stripe or Venmo. We see payment status, amount, and the name/email tied to the payment. We never receive or store full card numbers.
• Device & logs: standard technical data such as IP address, browser type, and request logs kept by our hosting provider for security and troubleshooting.

How we use it

• To take, confirm, and manage bookings and payments.
• To verify your identity with one-time passcodes and sign-in links.
• To collect and keep signed waivers and rental agreements.
• To answer questions and provide customer service.
• To meet legal, safety, insurance, and record-keeping obligations.

We do not sell your personal information, and we do not use it for third-party advertising.

Who we share it with

Only with service providers that help us run the club, under their own privacy and security terms:

• Stripe – card payment processing (when online payments are enabled).
• Twilio and SendGrid – delivering text messages and emails such as codes, confirmations, and reminders.
• Netlify – website hosting and secure storage of form submissions.
• Google Drive – storing copies of signed waiver and agreement PDFs.
• Venmo – if you pay by Venmo, you pay on Venmo’s own app/site under Venmo’s terms; we only see the payment it shows us.

We may also disclose information if required by law, or to protect the safety of guests, staff, or property.

Text messages (SMS)

When you give us your mobile number, you agree to receive transactional texts from Shepherd’s Ranch Sports Club / GrayRock Meridian, such as sign-in codes, booking confirmations, and reminders. These are not marketing messages. Message frequency varies; message and data rates may apply. Reply STOP to opt out or HELP for help. Mobile numbers and SMS opt-in consent are never shared with or sold to third parties for marketing purposes.

How long we keep it

Booking and contact records are kept as long as needed to serve you and for normal business records. Signed waivers and rental agreements are kept for as long as reasonably needed for legal, insurance, and liability purposes, which may be several years (longer for minors). Sign-in codes expire within minutes.

Security

We use HTTPS, access-restricted storage, and reputable providers. No system is perfectly secure, but we limit access to your information to people who need it.

Minors

Our site is not directed to children. Participants under 18 must have a waiver signed by a parent or legal guardian, and we collect the minor’s name and age only for that purpose.

Cookies

We do not use advertising or tracking cookies. The site may use small browser storage needed for features like staying signed in, and our host may set strictly necessary technical cookies.

Your choices

You can ask to see, correct, or delete your information by contacting us. Some records, such as signed waivers, may need to be kept for legal reasons, and we’ll tell you if that applies.

Changes

We may update this policy and will change the “last updated” date above when we do.
